Verification Certificate by Serial Number

Every Smartag instrument released to the market as a measuring instrument undergoes verification, and a verification certificate is issued for it. Instead of digging through paper files or emailing your manager, enter the instrument serial number: the service finds the right page in the certificate archive and returns it as a separate file — a PDF to file with your records, or an image to send quickly via a messenger.

Look up a certificate by serial number

The number is printed on the instrument label and stated in its data sheet. Letter case and spaces do not matter: “hv 300 000 640” finds the same result as HV300000640.

How it works

Verification certificates arrive from the accredited laboratory in batches: one PDF file covering several hundred instruments, one page per serial number. Searching such a file by hand means scrolling through hundreds of pages, so the service does this work in advance.

  1. The archive is indexed

    The service reads all certificate files once and records on which page of which file each serial number is printed. At the same time it extracts the certificate number, verification date, expiry date and the identifier of the record in FSIS Arshin (Rosstandart's verification database).

  2. You enter the number

    The search runs not through the documents but through a ready-made index, so the answer is instant — there is no need to open a multi-page PDF.

  3. The page is extracted

    Exactly one page — yours — is taken from the combined file. No other instruments or serial numbers ever appear in the result.

  4. You download the file

    Choose PDF if the document goes into a file, a verification log or a reply to an auditor’s request. Choose a PNG image if you just need to show the page or send it in a conversation.

  5. New certificates appear automatically

    After each verification round, the files are added to the archive and re-indexed. The whole archive is not re-parsed — only new files are processed, so an update takes seconds.

The set of details corresponds to the certificate form established by Order of the Russian Ministry of Industry and Trade No. 2510 of 31 July 2020.

A certificate and a register record are not the same thing. The legally significant result of verification is the record in FSIS Arshin; a paper or electronic certificate is issued at the request of the instrument owner. That is why the card always includes a link to Arshin: an auditor or inspector can check the details against the primary source.

Why you need the certificate at hand

During inspections and audits, measurement results are accepted only if the instrument used to obtain them was verified at the time of measurement. The certificate is attached:

The page can be opened with the number already filled in — just add it to the address: poverka.html?number=HV300000640. The search starts automatically. This is convenient if you print a QR code on the instrument label or insert the link into an SOP or log: an employee points a phone camera at it and immediately sees the valid certificate.

The service works only with instrument serial numbers and contains no personal data. We do not ask for your name, organization or contact details to perform a search — the certificate is provided by serial number alone.

Frequently asked questions

Where can I find the instrument serial number?

On the housing label next to the barcode and in the instrument data sheet. Smartag serial numbers start with the letters HV. In the reader software, the number is shown in the device details and printed in the report.

What is the difference between the PDF and the image?

The content is identical — it is the same page. A PDF keeps the text: it can be searched and copied, prints correctly and is suitable for attaching to documents. A PNG is a picture, handy for sending quickly via a messenger or pasting into a presentation.

Why is the search so fast when the documents have hundreds of pages?

Because the documents are not opened when you search. The service has read them in advance and built a “number → file and page” index. A query goes to the index, and the source PDF is only touched when the required page is extracted — and that result is cached.

What does the “verification expired” mark mean?

It means the date in the “Valid until” field has already passed. The certificate remains a record of the verification performed, but measurements taken after that date may not be accepted during an audit. The instrument must be sent for its next verification.

Can I use this page to check an instrument from another manufacturer?

No. This page holds certificates for instruments whose verification was arranged by Hladverk Group. Any instrument can be checked in FSIS Arshin by serial number or certificate number.

How soon after verification does the certificate appear?

The laboratory submits the verification details to FSIS Arshin and sends the certificates to us in a batch. We add them to the archive and re-index it — usually the same or the next business day.

Is a verification report provided together with the certificate?

The verification report is kept by the laboratory that performed the verification and is provided at the instrument owner’s request. Contact us and we will request it for you.

Do single-use temperature indicators need verification?

Yes, if they are entered in the Federal Register of Approved Measuring Instruments as measuring instruments: for Smartag modifications, the verification interval is one or two years depending on the version. For details, see Smartag Temperature Indicators.
